Your trust matters to us. This policy explains what information Auxflo collects, why we collect it, and how we handle it — including the call recordings, transcripts, and text messages our AI receptionist processes on behalf of the businesses that use us.
1. Who we are
Auxflo (“Auxflo,” “we,” “us,” or “our”) provides an AI-powered phone receptionist and front-office platform for trades businesses. Our customers (“Businesses”) use Auxflo to answer calls, respond to text messages, qualify leads, and book appointments. This policy explains what information we collect, how we use it, and the choices available to you.
This policy covers both visitors to our website and users of the Auxflo platform. If you are a caller whose call was answered by a Business's Auxflo receptionist, the Business you called is responsible for the information it collects through Auxflo; we process that information on the Business's behalf.
2. Information we collect
Account and business information:
- Name, email address, and password when you create an account
- Business details you provide during onboarding (business name, trade, service area, hours, phone numbers)
- Billing details, processed by our payment provider (we do not store full card numbers)
Communications handled by the platform:
- Call recordings and call metadata (caller phone number, time, duration)
- Transcripts of calls generated by our AI voice system
- SMS messages sent and received through Auxflo numbers
- Lead, appointment, and job details captured during conversations (e.g., a caller's name, address, and the issue described)
Usage and device information:
- Log data such as IP address, browser type, pages visited, and actions taken in the dashboard
- Cookies and similar technologies used to keep you signed in and understand how the site is used
3. Call recording and transcription
Calls answered by an Auxflo receptionist may be recorded and transcribed so the Business can review them, and so we can operate and improve the service. Call recording laws vary by state — some require the consent of all parties on a call. Businesses using Auxflo are responsible for complying with the call recording and telemarketing laws that apply to them, including playing or configuring any required disclosures for their callers.
4. How we use information
- Provide the service: answer calls, send texts, transcribe conversations, book appointments, and display this activity in the Business's dashboard
- Operate and improve Auxflo, including troubleshooting, analytics, and developing new features
- Communicate with you about your account, service updates, and support
- Process payments and prevent fraud or abuse
- Comply with legal obligations
We do not sell personal information. We do not use the contents of your calls or messages for third-party advertising.
5. How we share information
We share information only with service providers that help us run Auxflo, and only as needed to provide the service:
- Telephony and messaging infrastructure (e.g., Twilio) to place, receive, and route calls and texts
- AI voice processing (e.g., Vapi and its underlying speech and language model providers) to answer and transcribe calls
- Payments (e.g., Stripe) to process subscriptions
- Hosting and data infrastructure (e.g., Vercel, Supabase) to run the application and store data
We may also disclose information if required by law, to protect the rights and safety of Auxflo, our customers, or others, or as part of a merger, acquisition, or sale of assets (in which case this policy will continue to apply to previously collected data).
6. Data retention
We retain account information for as long as your account is active. Call recordings, transcripts, and message history are retained so Businesses can access their own records; Businesses can request deletion of specific records or their entire account data by contacting us. After account closure, we delete or de-identify personal information within a reasonable period, except where retention is required for legal, billing, or security purposes.
7. Security
We use industry-standard safeguards to protect your information, including encryption in transit, access controls, and row-level security on customer data. No method of transmission or storage is 100% secure, but we work to protect your information and will notify affected users of any breach as required by law.
8. Your choices and rights
- Access, update, or delete your account information from your dashboard settings
- Request a copy or deletion of your data by contacting us
- Opt out of marketing emails via the unsubscribe link (service emails about your account will still be sent)
- Depending on where you live, you may have additional rights under laws such as the CCPA — contact us to exercise them
If you are a caller and want a recording or your information removed, contact the Business you called, or reach out to us and we will assist.
9. Children
Auxflo is a business tool and is not directed to children under 13. We do not knowingly collect personal information from children.
10. Changes to this policy
We may update this policy as Auxflo evolves. If we make material changes, we will notify account holders by email or an in-app notice before the changes take effect. The effective date at the top reflects the latest revision.
